Position Title:  Operations Coordinator

 

Your role

The Operations Coordinator is responsible for managing the workflow for the Operations Guide and the governance risk & compliance policy management software platform (GRC) for the global Operations Department. 

Day-to-day will be responsible for updating procedures, policies, and communications to inform employees of company developments and policy changes. Will also be responsible for processing incoming requests for new and modified procedures/policies, driving the annual and biennial review process with subject matter experts, and facilitating the employee acknowledgment process for the global Operations Department according to company HR/Legal guidelines.

What you’ll do

  • Coordinate the request, documentation, and review of all procedures, policies, and documents with appropriate subject matter experts, incorporate revisions, coordinate proper distribution, and manage translation requirements.
  • Manage annual or biennial procedure and policy review process with subject matter experts and administer policy acknowledgment process for employees.
  • Manage & maintain the communication and policy pipeline, follow up on outstanding items, and other policy & communication deadlines.
  • Monitor formal communication and Operations inquiry; answer or direct questions to appropriate resources.
  • Manage and act as Operations department platform administrator for ServiceNow corporate policy platform.
  • Process departmental invoices and manage the internal accounts-payable tracker.
  • Responsible for reading & analyzing memos to determine significance and plan distribution accordingly.
  • Maintain all internal web-portal pages under the Operations Department by working with IT and the SharePoint Developers to manage access permissions and implement required webpage changes/additions.
  • Additional responsibilities include managing the Operations training calendar, developing Operations surveys via Survey Monkey, partnering with department heads to create and publish a weekly global Informational Newsletter.

What you’ll need

  • Bachelor’s degree or equivalent experience of a minimum of two years as an office administrator or coordinator who handles various tasks to ensure the smooth daily operations of a department, including performing administrative duties and assisting with project management.
  • Strong planning, presentation & organizational skills
  • Strong language/linguistic skills – written & verbal
  • Ability to set priorities and identify areas that require further research
  • Excellent interpersonal and communication skills with the ability to interact with all levels of the organization
  • Demonstrated ability to work productively and comfortably with a minimum of direction
  • Proficient computer skills required, including Microsoft Office Suite, SharePoint, and Teams
  • Demonstrate the ability to quickly adapt to corporate culture and create positive internal relationships with staff, subject matter experts, management, and consultants. The candidate must demonstrate leadership abilities. Strong verbal, listening, written communication skills are required.
  • The ability to be proactive, self-motivated, and self-directed, as needed. To demonstrate a commitment to Digital’s excellent customer service standards.
