Your role

This Executive Coordinator positions plays a critical role in ensuring smooth functioning of the Chief Commerical Operations Officer (“CCOO”) organization, providing high-level executive support, including schedule and meeting coordination, gatekeeping, budget and finance management, reporting, presentation work, and more. You'll join the largest data center provider in the world and enjoy the collaborative and high-energy office environment of a respected global corporation.  Working directly for the CCOO will also allow you to spotlight your talent and make a strong impact that will be noticed by our top leaders.


What you’ll do

In this critical role, you will directly support and serve as the right hand of the CCOO, keeping him organized, completing project and presentation work, acting as gatekeeper -- doing whatever is needed to allow him to optimally perform his role. 


Specifically, you will be responsible for: 

  • Creating PowerPoints, Word docs and other presentation collateral
  • Developing spreadsheets and reports
  • Tracking and managing expenses
  • Schedule management
  • Project prep-work/research
  • Purchase order generation
  • Managing heavy meeting, travel and other arrangements
  • Managing additional tasks as assigned


You will also be the CCOO’s representative managing the Boston office which is home to several key stakeholder groups including Design & Construction, Finance and Portfolio Management.  In this capacity you will manage the daily operations of the office to ensure the highest levels of efficiency and stakeholder satisfaction.  Tasks include:

  • Vendor/payment management
  • Work station/space allocation management
  • Budget management
  • Incoming and outgoing mail services. May require you to move boxes around the office up to 25lbs.
  • Break/kitchen/copy areas maintenance and restock. May require you to lift and move inventory boxes.
  • Administrative, hospitality, and office services tasks.
  • Project management for office-related projects
  • Copy/Kitchen stock inventory and ordering
  • Basic skills to keep office equipment functioning.
  • Manages client and vendor relationships including landlord/building service providers to ensure consistency and quality service delivery is maintained at the highest levels.
  • Partners with others to develop and execute service strategies, programs, and processes for delivering a superior employee experience; ensures consistent implementation and compliance of local, regional and national initiatives.
  • Collaborates with other groups to promote and facilitate cross-training and teaming; proactively builds a cohesive team by educating, sharing information, and providing updates.
  • Monitors various reporting tools to ensure compliance with operational policies and procedures (daily time reporting, over time, Yardi, etc.).
  • Serves as an ambassador for Workplace Services, educating employees and team members on service offerings and capabilities.
  • Assists in the budget planning process as it relates to the Workplace Services budgets and expense forecasting of items atypical such as capital purchases and increased maintenance spend.
  • Analyzes monthly financial results and provides guidance/consultation to key stakeholders.


What you’ll need

  • Bachelor’s degree or equivalent
  • At least three years of previous experience in project support and coordination roles 
  • Strong working knowledge of MS Office tools and systems
  • Strong organizational and project management skills
  • Excellent verbal/listening and written communication skills; ability to effectively communicate and interact with executives and other leaders. 
  • Impeccable spelling and grammar with keen attention to detail
  • Proactive and solution focused 
  • Able to work independently and use own initiative 
  • Calm manner, able to work well under pressure and make sound decisions
  • Experience in a face past environment preferred
