Your role 

The Manager, Executive Coordinator plays a critical role in ensuring smooth functioning of CTO organization and optimizing operational efficiency.  Responsibilities include overseeing day-to-day department operations, providing guidance and implementing strategies to enhance productivity and collaboration, budget and finance management, communications management, meetings management, reporting, and provides administrative support to Executive Vice President (EVP).   

Additional responsibilities include organizing and prioritizing critical issues and required information for the executive to facilitate efficient decision making. Acts as a point of contact or gatekeeper between top management and other stakeholders.

 

What you’ll do 

  • Project Management:
    • Oversee the planning, execution, and completion of projects, ensuring adherence to timelines, budget and quality standards. 
    • Assign tasks and responsibilities to team members, track progress, and manage project risks and issues. 
    • Coordinate with project stakeholders (includes cross functional) to gather requirements, set expectations, and communicate project updates.
  • Budget and Finance Management
    • Prepare annual forecasts and budgets under direction of EVP. 
    • Liaise with Finance Dept. and track department annual budget and provide guidance to EVP, SVP and VPs
    • Manage dept. vendor contracts, renewals and renegotiations. 
    • Manage vendor purchase orders ensuring they adhere to budget and forecast. 
    • Manage department expenses and expense reports, reporting findings to EVP. 
  • Communication and Collaboration
    • Manage EVP staff meeting with leaders, develop and drive meeting agenda.
    • Manage monthly leadership meeting senior leadership team, develop and drive agenda. 
    • Facilitate effective communication channels with and across teams, ensuring timely and accurate information flow. 
    • Collaborate with cross-functional stakeholders to align team goals and objectives with overall organizational objectives.
    • Foster a positive inclusive work environment that encourages open communications.
  • Reporting
    • Compile and track weekly team deliverables, ensure reporting to EVP. 
    • Quarterly tracking of dept. business unit Goals.  Manage and prepare quarterly BU Scorecard, compare and track against annual objectives. 
  • Operational Efficiency
    • Identify areas for operational improvement and develop strategies to streamline processes, increase efficiency, and reduce costs. 
    • Optimize workflow and ensure the teams are working effectively to meet organizational goals and objectives. 
    • Implement and enforce operational policies, procedures, and best practices to drive consistency and standardization across teams. 
    • Monitor team performance metrics, analyze data, and generate reports to identify trends and areas for improvement.

       

What you’ll need

  • Bachelor’s degree or equivalent experience
  • At least three years of previous experience in project support and coordination roles 
  • Certified Project Management Professional, preferred.
  • Strong working knowledge of MS Office tools and systems
  • Strong organizational and project management skills
  • Excellent verbal/listening and written communication skills; ability to effectively communicate and interact with executives and other leaders. 
  • Impeccable spelling and grammar with keen attention to detail
  • Proactive and solution focused 
  • Able to work independently and use own initiative 
  • Calm manner, able to work well under pressure and make sound decisions
  • Experience in a face past environment preferred

Our Compensation Philosophy

Digital Realty offers its employees a highly competitive compensation package, excellent benefits, and an environment that recognizes and rewards your contributions. Our published pay ranges reflect the minimum and maximum target for new hire pay for the full-time position determined by role, level, and geographical location. Individual pay is based on additional factors including but not limited to job-related skills, experience, and relevant education and/or training. Moreover, an employee’s total compensation package varies by role and may include salary, cash bonus or commissions, and equity awards not quantified below.

Compensation range: 85,000 – 125,000 USD annually. This compensation range represents the Company’s good faith belief as to what it will pay as a base salary for this position at the time of this posting.
