Position Title: Executive Assistant – Chief People Officer

Location: Dallas, TX

Your role

The Executive Assistant - Chief People Officer will directly support the Chief People Officer and Human Resources organization which is based in Dallas. This role will perform standard tasks for the Chief People Officer such as: scheduling and meeting coordination, gatekeeping, travel arrangements, invoice and PO tracking (among other items). In addition to these standard tasks, the role will partner with the Chief People Officer to be a key driver of team culture and connectivity for Human Resources globally. In this capacity, the role will assist with planning virtual all-hands team meetings for team members in multiple countries – and will plan periodic in-person events for smaller subsets of this team. We are seeking a highly motivated individual who enjoys and excels at creative problem solving, championing a culture, and project management.

What you’ll do

· Manage heavy calendars, domestic/international travel arrangements

· Perform administrative duties such as updating databases, prepare materials for meetings, prepare Board materials, etc.

· Create PowerPoint slides, Word docs, and other presentation collateral

· Management of Meetings including note taking, tracking action items, and ensuring follow-up

· Develop spreadsheets, reports, expense management

· Schedule management

· Project management, prep-work, and research

· Manage additional tasks as assigned

What you’ll need

To be a strong fit for the Executive Assistant opportunity, you should have:

· 5+ years of experience as an Admin./Executive Assistant supporting C-Suite Executives (prior experience at a public company is a plus)

· A professional and articulate presence and comfort interacting with senior executives

· Advanced Microsoft Office skills (e.g. Word, Excel, PowerPoint and Outlook)

· Ability to create complex spreadsheets and polished, high-level presentations

· A bachelor's degree from an accredited four-year college or university is highly preferred

In addition, you will need the following core characteristics and competencies:

· Excellent gatekeeping, calendaring, and planning skills

· Outstanding project management skills

· Strong organizational and time-management skills with strict attention to detail

· The ability to multitask and manage multiple activities and priorities

· Strong writing and editing skills including accurate grammar, spelling and punctuation

· A good eye for creating presentations in PowerPoint, keeping in mind topic and audience

· A friendly people-oriented approach and the ability to interact effectively with customers, coworkers, and a large team

· The ability to express ideas clearly in written and verbal communications

· A strong sense of ownership and goal driven personality

· Resourcefulness and the ability to achieve goals independently
